Introduction

This Privacy Policy outlines SAIBER Ltd ("we", "our", "us" or "the Company") practices with respect to information collected from users who access our website at RUCyberReady.UK ("Website"), Web-App-Group(s) ("Web-App-Group")  whether Public Web-App-Group(s) at https://www.kaiza.la/public/RUCyberReadyUK, or, Private Web-App-Group(s) or otherwise share personal information with us (collectively).

Grounds for data collection 

Processing of your personal information (i.e. any information which may potentially allow your identification through reasonable means; hereinafter "Personally Identifiable Information (Pii) ")  is necessary for the performance of our contractual obligations towards you and providing you with our services, to protect our legitimate interests and for compliance with legal and financial regulatory obligations to which we are subject.

When you use the Website or Web-App-Group Services, you consent to the collection, storage, use, disclosure and other uses of your Personal Information as described in this Privacy Policy.

We encourage our Users to carefully read the Privacy Policy and use it to make informed decisions. 

What information do we collect?

We collect two types of data and information from Users. 


The first type of information is un-identified and non-identifiable information pertaining to a User(s), which may be made available or gathered via your use of the Website or any Web-App-Group (“ Non-personally Identifiable Information ”). We are not aware of the identity of a User from which the Non-personal Information was collected. Non-personal Information which is being collected may include your aggregated usage information and technical information transmitted by your device, including certain software and hardware information (e.g. the type of browser and operating system your device uses, language preference, access time, etc.) in order to enhance the functionality of our Website or Web-App-Group services. We may also collect information about your activity on the Website and Web-App-Group services (e.g. pages viewed, online browsing, clicks, actions, etc.).


The second type of information Personally Identifiable Information which is individually identifiable information, namely information that identifies an individual or may, with reasonable effort, identify an individual. Such information includes:

 

  • Web-App-Group: When you access a web-app-group within the Microsoft Kaizala App that is provided by SAIBER Ltd, your registered User Name is collected. Public groups will show the User Name you provide. For Private groups, collected information includes the User Name and mobile number registered to access the web-app-group via the Microsoft Kaizala App.
  • Booking information: When you booking a service within the booking section of the Website you will be asked to provide us with certain details such as: full name; email or physical address, and other information. 
  • Email Information: When you have emailed us to either request details of a panel discussion or have purchased a services from us, in the process of providing the business services, your Pii detail will have been collected.
  • TIDO Chatbot: This website is using Tidio, a chat platform that connects users with the customer support of SAIBER Ltd. We are collecting either or all email addresses/names/phone numbers provided by users and only with the consent of the users, in order to start the chat. The messages and data exchanged are stored within the Tidio application. For more information, please refer to their Privacy Policy here: https://www.tidio.com/privacy-policy/ . SAIBER Ltd is not making use of these messages or data other than to follow up on users’ registered issues or inquiries. Your personal data will be processed and transmitted in accordance with the General Data Protection Regulation (GDPR).

 

How do we receive information about you?

We receive your Personal Information from various sources:
  • When you voluntarily provide us with your personal details using the book-form for a service on our Website;
  • When you voluntarily provide us with your personal details by email to inquire about a service or offering on our Website;
  • When you use or access our public Web-App-Group in connection with your use of our services;
  • When you use or access our private Web-App-Group created for you in connection with your use of our services;
  • When you request to join a panel discussion;

Information You Voluntarily Submit to the Website, Web-App-Group or email.


We may collect personal information from you such as your name or email address. For example, you may voluntarily submit information to the Website by submitting a booking for a service, or you may subscribe to any of the SAIBER Ltd available 'Web App Groups' such as ‘RUCyberReady.UK (Public)’ , ‘RUCyberReady.UK (Business Support), any web-app group explicitly created for you or you may request to join a panel discussion.


Controller


SAIBER Ltd is the controller and responsible for your personal data (collectively referred to as  “we”, “us”, "the company" or “our” in this privacy notice).


Automatically Collected Information


We automatically collect certain information about you and the device with which you access the Website. For example, when you use the Website, we will log your IP address, operating system type, browser type, referring website, pages you viewed, and the dates/times when you accessed the Website. We may also collect information about actions you take when using the Website, such as links clicked. If you have joined a Web-App-Group(s) then your User Name, Mobile Phone number will have been collected as registered users.


Cookies


Cookies are not used by the Website or any Web-App-Groups for SAIBER Ltd other than to operate and maintain the Website or Web-App-Group.


How Your Information May Be Used


We may use the information collected in the following ways; 


To operate and maintain the Website; 


To send you administrative communications, such as administrative emails, confirmation emails, technical notices, updates on policies, or security alerts; 


To respond to your comments or inquiries; 


To provide you with user or service support; 


To protect, investigate, and deter against unauthorised or illegal activity.  


Third-Party Use Of Personal Information  


Your information is not shared with third parties. 


Additionally, the Website provider does not use third-party service providers to service various aspects of the Website. 


Additionally, the Web-App-Group provider does not use third-party service providers to service various aspects of the Web-App-Groups. 


Each third-party service provider’s use of your personal information is dictated by their respective privacy policies, if applicable. 


The Website and Web-App-Group currently use the following third-party service providers; 


Microsoft Kaizala for Business - This service provides web-app-group functionality using the Microsoft Kaizala App. The web-app-group(s) can be either public or private. This service tracks web-app-group usage and provides information such as browser-based web-group interactions and user actions within the web-app-groups. If applicable, the web-app-group provides in-app-features such as the ability to perform online collaboration, video, message and secure document exchanges to all registered users. In-app features can also be accessed through browser technology if applicable to the web-app-group(s). Microsoft may use telemetry data however no personal information is captured by Microsoft. NamesCo – This service hosts the Website. This services tracks website telemetry details. For example, when you use the Website, your IP address, operating system type, browser type, referring website, pages you viewed, and the dates/times when you accessed the Website is logged. It may also collect information about actions you take when using the Website, such as links clicked. Microsoft Office 365 Business Outlook – This service provides email services. It is used for business information such as to communicate information on how to join panel discussions that you have requested by email to join, or indeed business information on your requests or engagements with SAIBER Ltd services. We store your name and email address for purposes of delivering such communications. Please refer to Microsoft privacy policy for further information: https://privacy.microsoft.com/en-us/privacystatement 


Microsoft Skype & Microsoft Teams for Business - This service is used to host online group activities such as meetings or panel discussions. On the Website, Web-App-Group(s) or through Email, you may request or be requested to join any online or panel discussion if applicable. Panel discussions will be available through Microsoft Skype for Business where no personal data is collected other than email address, full name for the purpose of providing you with business instructions on details on how to join the relevant public or private event. Microsoft Bookings App for Business - This service is used by the Website to enable services to be selected for online bookings only. Facebook, WhatsApp, Linkedin, Microsoft Kaizala, and Twitter icons are available on the blog section, these icons are either available for each post of collectively through the website. These are not monitored for usage and are open for all website users to share content in line with this policy. Personal data provided by the use of these or any social media features is not sold to any third party, this includes the ability to make comments for each published blog, in which case data volunteer would be in line with NamesCo statement as of this policy notice.


Facebook Group is used as a community forum only any data you volunteer into the group is not used for any monitisation purpose and you data remains within the group. You must request to join the Facebook group.


The Registered Professionals Page: Our website provides a place for professional individuals or companies to place their business card specifically located at https://www.RUCyberReady.uk/rrp. Once you have provided you business card or social media banner, it will be fitted into a 400 pixel by 250 pixel image and uploaded to the 'The Registered Professional Page'' of our website. Your details will be available to all who browse the website. We will not use your business card photo for any other reason. You can email us for your card to be removed at any time. With your consent provided, you can also provide a social media banner that represents you and/or your organisation should you not want to provide a business card.


This list may be amended from time to time at the Website’s sole discretion. Except when required by law, we will not sell, distribute, or reveal your email addresses or other personal information without your consent. 


Anonymous Data 


Data is not collected and anonymised for distribution to third parties. Data is bound by this Privacy Policy.


Publicly Visible Information 


If you leave a comment on any public Web-App-Group or sections of the Website certain information may be publicly visible. 


Advertising 


Display Ads: No third-party advertising companies are used to serve content and advertisements when you visit the Website or any Web-App-Group. 


Re-targeting Ads: No re targeting adverts or services are used. 


Affiliate Program Participation: No affiliate programs or services are used. 


Rights Related To Your Personal Information 


Opt-Out – You may opt-out of web-app-groups within Kaizala by following the unsubscribe Kaizala features within the Kaizala web-app-group you subscribed to.

Amend – You may contact us at info [at] rucyberready [dot] uk to amend or update your personal information. 


Forget – In certain situations, you may request that we erase or forget your personal data. To do so, please submit a request to info [at] rucyberready [dot] uk 


Please note that we may need to retain certain information for record keeping purposes or to complete transactions, or when required by law. All expected Pii data is specified within this Privacy Policy. 


Sensitive Personal Information 


At no time should you submit sensitive personal information to the Website, Bookings or any Web-App-Group. This includes your national insurance number, information regarding race or ethnic origin, political opinions, religious beliefs, health information, criminal background, or trade union memberships. If you elect to submit such information to us, it will be subject to this Privacy Policy. 

Retention

We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable opportunity. By default all vendor recommended default settings are reviewed and enabled. Although we take reasonable steps to safeguard information, we cannot be responsible for the acts of those who gain unauthorised access or abuse our Website, and we make no warranty, express, implied or otherwise, that we will prevent such access.

Transfer of data outside the European Economic Area (EEA)

Please note that for public based services like the public Web-App-Group or panel discussions, some data recipients may collaborate with said services who are located outside the EEA. In such cases your data will always have adequate level of data protection and bound by this Privacy Policy.

Corporate transaction

We may share information in the event of a corporate transaction (e.g. sale of a substantial part of our business, merger, consolidation or asset sale). In the event of the above, the transferee or acquiring company will assume the rights and obligations as described in this Privacy Policy.

Minors

We understand the importance of protecting children’s privacy, especially in an online environment. The Website is not designed for or directed at children. Under no circumstances shall we allow the use of our services by minors without prior consent or authorisation by a parent or legal guardian. We do not knowingly collect Personal Information from minors.
